A Front Desk presence is required Monday - Friday to open and manage the switchboard throughout the day.
The position offers flexibility around core workday hours of 9am - 4pm, with flexibility for the position to work 30-40 hours per week.
The job responsibilities include the following:
Serve as the main point of contact for the property management company.
Manage all facility requests from initial communication to completion.
Responsibility for all office related supplier contracts.
Maintain budget, purchase and facilitate all office service agreement contracts including office and kitchen supplies.
Organize various on-site and off-site activities including our birthday celebrations, supplier visits, employee/client social events and company meetings.
Coordinate many of our Community Outreach events.
Professionally administer all incoming calls and ensure phone calls are properly redirected.
Maintain a clean and organized area and greet guests in a professional, friendly, and hospitable manner.
Monitor visitor access and maintain security awareness.
Receive and sort mail deliveries.
Maintain our on-site filing and off-site archive system.
Other duties are to be assigned by the Director of Finance, including, but not limited to the occasional offsite errands.
Qualified Candidates must have:
Exceptional customer service skills including a positive and personable manner Strong written and verbal communication skills Ability to work as part of a team and independently with minimal supervision Capability to manage multiple programs within the office to maintain proper organization and workflow including, but not limited to supply requisitions, office maintenance, and filing systems Proficiency in Microsoft Word, Excel, Outlook and Teams.
