7 Columbia, MD Columbia, MD Full-time Full-time Administrative Assistant Accountability Ensures comprehensive, high-quality administrative/secretarial support to senior Market Director, including:
Managing calendars - booking time for various activities, prioritizing and rescheduling conflicting arrangements, ensuring timely execution of all commitments Coordinating and handling the logistics of business meetings, appointments, conf-calls, local business trips, etc.
Assists Market Director in performing various procedural obligations ensuring their full compliance:
Timely reconciliation of individual business travel expenditures Verification, justification and approval of all incoming invoices Ensuring legal sign-off and the proper approval of business contracts Contributes to a positive image of the company and Market Director by:
Ensuring professional and customer-driven service to all employees, business partners, customers and guests Attending to the needs and coordinating the visits / travel arrangements of official company guests per Market Director request(s) Performs other ad hoc tasks and coordinates small projects.
Technical Skills Provides dedicated administrative support in a professional, confidential, and organized manner.
Provides front desk office coverage, greets visitors, monitors email and phone calls, and proactively responds to and/or coordinates issues when possible.
Reserves conference rooms for meetings and restocks with refreshments daily.
Supports distribution of event tickets via All Access portal.
Organize/maintain department files, both electronic and hard copy.
Maintain high level of integrity and professionalism in handling confidential material daily.
Ability to work proficiently and calmly under pressure situations.

Experience:

years' experience in Administrative Leadership Support Bachelor's degree preferred.
Detailed knowledge and experience in Microsoft Word, PowerPoint, and Excel.
Experience in prioritizing work and multi-tasking - Strong sense of urgency.
Outstanding organizational and follow-up skills - Discretion with sensitive information.
Excellent written and verbal communication skills.
Requires creative thinking and problem-solving skills.
